How to - Upload Suppliers via The Supplier Upload Console
This tutorial walks you through the process of uploading supplier information when you are not running a data enrichment job but simply adding new suppliers or updating existing supplier details in your system.
You can follow the step-by-step instructions below or watch the video.
Note: The video refers to an Excel template - we now use a CSV format, but the steps remain the same.
The Supplier Upload Process consists of 3 main steps:
- Download the template
- Fill it out
- Upload
Step 1 - Downloading the template
This is typically done by downloading and populating the built in CSV template from the supplier upload console. You can find it in the top right corner in the New Supplier Upload modal.
Click on the Template Download icon.
Step 2 - Fill out the template
Open the template and complete all of the required fields, recommended fields, and optional fields for which you have data. Click here for the data dictionary describing exactly what every single field in the template represents & requires in order to be captured successfully.
Required Fields are:
- Company Name*
- Supplier/Vendor Internal Number*
Highly Recommended Fields are:
- TIN/EIN
- Address
- City
- Country
- State (when applicable)
- Zip (when applicable)
Optional Fields are in black

Step 3 - Upload supplier data
The upload process helps to accomplish 2 things:
- Make sure we have all of your data
- Make sure we have everything in the right place.
To complete the upload, click on the New Upload link.
Locate the file on your desktop by clicking the Browse button; then,
Click on the Load File button.
Next, the system will review your template to ensure all data is correctly placed. If you're using the system-provided template, this step will happen automatically. However, if you're using a custom template, the tool may prompt you to map the fields from your file to the corresponding fields recognized by the system.
Now you are ready to complete the upload.
Click on the Process File button to get things started.
How long will my upload take?
The time to process your upload depends on the number of records in your file and the number of requests in the queue. Typically uploads complete within about 1-3 hours. However, you may experience a longer wait time if things are busy.
In any case, we will send you an email when your upload file has been processed and you will see an alert in the system as soon as the processing is completed.
What if there were issues with my data?
After you have received notification that your upload processing is complete, log in to the Supplier Upload Console to review records. You will be notified of any unsuccessful uploads at this portal. Processing metrics will be provided for all uploads. Some common reasons for unsuccessful processing include missing data fields and incorrect data field mapping when using your own Excel template. What if i just want to update contact information for suppliers I already uploaded?
You have a couple of choices - You can use the exact same template to perform your upload and only include the fields that are needed (Company Name, Supplier Number, Contact First and Last name, and Contact Email), or you can use an abbreviated version of the template. See this article for more information
Note: Uploading suppliers through this method will not generate a data enrichment output file. If you wish to perform a data scrub or enrichment, please upload your supplier list using the Data Enrichment app instead.
