Proof of Business Registration Guide - EU EDC – SupplierGATEWAY Support Center

During your EDC application, you will be prompted to provide information to properly identify the registration standing of your business. This guide provides information on the required business registration documents for each country and how to obtain them.

Austria – Firmenbuchauszug

Document name: Firmenbuchauszug (Company Register Extract)
What it looks like: A one-page document issued by the local court or Firmenbuch portal, listing company name, registration number, legal form (e.g., GmbH, AG), and registered office. Typically has the court’s seal/logo at the top.
Where to get it: Austrian Justice Ministry portal or local commercial court.
Purpose: Confirms that the business is officially registered and active.

Belgium – CBE Extract

Document name: Crossroads Bank for Enterprises (CBE/KBO) extract
What it looks like: PDF extract with company number, VAT number, business name, and NACE activity codes. Header shows “Banque-Carrefour des Entreprises / Kruispuntbank van Ondernemingen”.
Where to get it: CBE online portal.
Purpose: Confirms company identity and VAT status.

Bulgaria – Certificate of Good Standing

Document name: Certificate of Good Standing (Удостоверение за актуално състояние) or Registration Extract
What it looks like: Official Bulgarian text document from the Registry Agency, stamped, showing company number, directors, and status.
Where to get it: Bulgarian Trade Register portal.
Purpose: Confirms that the company is legally constituted and currently active.

Croatia – Court Register Extract

Document name: Sudski registar extract
What it looks like: One-page document with court header, company OIB number, legal form, and directors listed. Stamped with court emblem.
Where to get it: Croatian Ministry of Justice portal or local commercial court.
Purpose: Confirms company registration.

Cyprus – Certificate of Incorporation

Document name: Certificate of Incorporation (or Company Extract)
What it looks like: Blue-bordered certificate in English and Greek, issued by the Registrar of Companies, bearing official emblem. Extracts are plain-text PDFs with company details.
Where to get it: Cyprus Registrar of Companies online portal.
Purpose: Confirms company’s legal existence.

Czech Republic – Commercial Register Extract

Document name: Výpis z obchodního rejstříku
What it looks like: Official PDF with court header, company IČO (ID number), business activities, legal form, and registered office.
Where to get it: Czech Justice Ministry portal (justice.cz).
Purpose: Confirms official registration and activity.

Denmark – CVR Extract

Document name: CVR Extract (Det Centrale Virksomhedsregister)
What it looks like: Plain digital PDF with company CVR number, name, address, legal form, and ownership details. Header marked “Erhvervsstyrelsen”.
Where to get it: Danish Business Authority (virk.dk).
Purpose: Confirms company ID and VAT.

Estonia – Business Register Extract

Document name: Äriregistri väljavõte
What it looks like: Digital PDF in Estonian/English, showing registry code, company form (OÜ, AS), and legal representatives.
Where to get it: Estonian Business Register portal.
Purpose: Confirms legal incorporation.

Finland – Trade Register Extract

Document name: Kaupparekisteriote
What it looks like: Finnish/English PDF with PRH logo, listing Y-tunnus (Business ID), company name, and representatives.
Where to get it: PRH (Patentti- ja rekisterihallitus) online portal.
Purpose: Proof of registration and active status.

France – Extrait Kbis

Document name: Extrait Kbis
What it looks like: One-page legal document with the French Republic emblem, company SIREN number, directors, and registered office. Usually has watermark “Greffe du Tribunal de Commerce”.
Where to get it: Infogreffe.fr portal.
Purpose: Official proof of registration in the RCS.

Germany – Handelsregisterauszug

Document name: Handelsregisterauszug (Commercial Register Extract)
What it looks like: PDF or scanned copy with Landgericht seal, listing HRB/ HRA number, company name, and directors.
Where to get it: German state justice portals (Handelsregister.de).
Purpose: Official confirmation of registration.

Greece – GEMI Certificate

Document name: GEMI Certificate of Registration
What it looks like: Greek text document with GEMI number, legal form, registered seat, and directors.
Where to get it: General Commercial Registry (GEMI) portal.
Purpose: Proof of incorporation.

Hungary – Company Register Extract

Document name: Cégkivonat
What it looks like: Hungarian text with company number, form (Kft., Rt.), registered seat, owners, and directors.
Where to get it: Ministry of Justice / Company Information Service.
Purpose: Proof of company registration.

Ireland – CRO Printout

Document name: CRO Company Printout or Certificate of Incorporation
What it looks like: PDF with CRO crest, company number, date of incorporation, and company officers.
Where to get it: Companies Registration Office portal.
Purpose: Confirms active company status.

Italy – Visura Camerale

Document name: Visura Camerale
What it looks like: Multi-page extract from Chamber of Commerce (Camera di Commercio), with business ID (REA), VAT number, activities, and directors.
Where to get it: Chamber of Commerce (registroimprese.it).
Purpose: Official extract confirming legal registration.

Latvia – Enterprise Register Extract

Document name: Uzņēmumu reģistra izziņa
What it looks like: Latvian/English PDF showing registration number, company name, and status.
Where to get it: Latvian Enterprise Register online portal.
Purpose: Proof of registration.

Lithuania – Certificate of Registration

Document name: Juridinių asmenų registro išrašas
What it looks like: Lithuanian text extract with company code, legal form, and directors.
Where to get it: Centre of Registers.
Purpose: Proof of legal registration.

Luxembourg – RCSL Extract

Document name: RCSL Extract
What it looks like: One-page document with “Registre de Commerce et des Sociétés Luxembourg” header, company number (RCSL ID), and directors.
Where to get it: RCSL portal.
Purpose: Proof of incorporation.

Malta – Certificate of Registration

Document name: MBR Certificate of Registration / Company Search Report
What it looks like: English-language certificate with coat of arms of Malta, company number, and officers.
Where to get it: Malta Business Registry.
Purpose: Proof of incorporation.

Netherlands – KvK Extract

Document name: KvK Uittreksel Handelsregister
What it looks like: One-page PDF with orange KvK logo, showing registration number, company address, and activities.
Where to get it: Dutch Chamber of Commerce (kvk.nl).
Purpose: Confirms company identity.

Poland – KRS Extract

Document name: Odpis z KRS
What it looks like: Polish text extract showing KRS number, NIP, REGON, directors, and form.
Where to get it: Ministry of Justice eKRS portal.
Purpose: Proof of company registration.

Portugal – Certificate of Commercial Registration

Document name: Certidão Permanente de Registo Comercial
What it looks like: Digital extract in Portuguese with company NIPC, registered address, and activities.
Where to get it: Portuguese Commercial Registry.
Purpose: Proof of active company status.

Romania – ONRC Certificate

Document name: ONRC Certificate of Registration (Certificat de Înregistrare)
What it looks like: Bilingual certificate with registration number, VAT, and directors.
Where to get it: Romanian Trade Register (ONRC).
Purpose: Proof of company registration.

Slovakia – Commercial Register Extract

Document name: Výpis z obchodného registra
What it looks like: Slovak text PDF listing company ID (IČO), registered office, and form.
Where to get it: Slovak Commercial Register portal.
Purpose: Proof of company status.

Slovenia – AJPES Extract

Document name: Izpis iz Poslovnega registra Slovenije
What it looks like: Slovenian text extract from AJPES database.
Where to get it: AJPES Business Register.
Purpose: Proof of registration.

Spain – Registro Mercantil Extract

Document name: Certificación registral / Nota simple
What it looks like: Spanish document with company CIF (tax ID), legal form, and officers.
Where to get it: Local Mercantile Register (Registro Mercantil).
Purpose: Proof of incorporation.

Sweden – Bolagsverket Certificate

Document name: Registreringsbevis (Certificate of Registration)
What it looks like: Swedish text certificate with organization number, legal form, and officers. Logo of Bolagsverket at top.
Where to get it: Bolagsverket portal.
Purpose: Proof of active registration.
