How to - Upload Tier 1 Spend
To reach the Spend Upload Console, visit your Tier-1 App and select Tier-1 Spend Dashboard, select Tier-1 Tools menu > Upload Spend.
The Spend Upload Process consists of 3 main steps:
Step 1 - Downloading the template
This is done by downloading and completing the built in Excel template from the Spend Upload Console.
Click on the Template download icon.
Step 2 - Fill out the template
Open the template and complete all of the required fields, recommended fields, and optional fields for which you have data.
1. Required Fields are:
-
- Spend Amount*
- Spend Date*
- Supplier/Vendor Internal Number*
- Company Name
2. Recommended Fields are:
-
- TIN/EIN
- Address
- City
- Country
- State (when applicable)
- Zip (when applicable)
- Spend Custom Classifications (Account, G/L Unit, Cost Center, etc..) note* Spend customs need to be set up in advance for them to appear in the downloaded template and capture data (refer to How to: Set up Spend Customs).
Step 3 - Upload spend data
To process the upload, click on the New Upload link.
Click the Browse button to locate the file on your desktop, enter a name that helps you identify the file’s contents, and then click Load File.
Next, you will see an orange "Ready for Column Mapping" status and an icon under the Action column. Select the action icon. The system will then check your uploaded template to ensure all data is correctly placed for proper processing.
If you used the system template, no field mapping is required on the column mapping sheet, select Process File icon.
If you used your own template, the system will prompt you to match the columns in your file to the correct fields it recognizes in order to complete the field mapping.
Now you are ready to complete the upload.
Click on the Process File icon at the bottom of this sheet as the final step.
How long will my upload take?
The time it takes to process your upload depends on the number of records in your file and the current volume of requests in the queue. Most uploads are completed within 1 to 3 hours, but processing may take longer during periods of high activity.
In any case, you will receive an email once your uploaded spend file has been processed. You will also see a banner alert in your portal and the status indicator within the Upload Spend console will update to Processed as soon as the processing is complete.
What if there were issues with my data?
After you get the notification that your upload is complete, log into your potal and navigate to the Upload Spend Console to check for any errors. If some records did not upload, you will see a Processing Error Count under records summary and can download the invalid records file.
This file will include a Remarks column explaining what needs to be fixed. Once you correct the issues, you can re-upload those records. Common issues include missing data (like spend date), unrecognized special characters or incorrect field mapping when using your own template.
