Understanding Supplier Profiles
Overview
Supplier profiles are the core representation of suppliers within SupplierGateway. A supplier profile consolidates key information about a supplier into a single, authoritative view that supports onboarding, reporting, compliance, and analytics across the platform.
This article explains what a supplier profile is, what information it contains, and how internal users access supplier profiles within the SupplierGateway platform.
What Is a Supplier Profile
A supplier profile is the structured record that represents a supplier company in SupplierGateway. It serves as the single source of truth for supplier information and is shared across all platform domains.
Each supplier has one supplier profile. The profile is created during onboarding and is updated over time as suppliers and internal users maintain required information and documentation.
How to Access Supplier Profiles in SupplierGateway
Internal users access supplier profiles through the Supplier Management application.
Accessing a Supplier Profile
Log in to SupplierGateway.
From the main menu, open the Supplier Management application.
Navigate to Supplier Status.
Locate the supplier in the list.
Select the supplier name to open the supplier profile.
Outcome:
The supplier profile opens, displaying detailed information for the selected supplier.
This is the primary and authoritative way internal users view supplier profiles in the platform.
Core Information Contained in a Supplier Profile
Supplier profiles are composed of several categories of information that together describe the supplier and its current standing.
Company Information
Company information establishes the supplier’s business identity and typically includes:
Company name
Business address
Tax or registration identifiers
Business type or structure
Contact Information
Supplier profiles include contact details used for communication and coordination, such as:
Primary business contacts
Administrative or program contacts
Email addresses and phone numbers
Accurate contact information ensures suppliers receive system notifications and requests.
Supplier Classifications
Classifications are attributes applied to supplier profiles to categorize suppliers for reporting and program eligibility.
Examples include:
Diversity classifications
Business size indicators
Industry or category attributes
These classifications are reused across multiple domains and directly influence analytics and reporting.
Documentation and Attestations
Supplier profiles store documentation and attestations required to validate supplier information.
Examples include:
Certifications
Licenses or registrations
Program-specific documents
Many documents are time-bound and must be renewed to maintain eligibility.
Supplier Status Indicators
Supplier profiles display status indicators that reflect the supplier’s current standing in the platform, such as whether the supplier has completed registration or is active.
These indicators help internal users quickly assess supplier readiness.
How Supplier Profiles Are Maintained
Supplier profiles follow a self-service model:
Suppliers are responsible for entering and maintaining their information
Internal users monitor completeness and status
Updates and changes are tracked within the platform
This approach improves data accuracy and reduces manual maintenance.
How Supplier Profiles Are Used Across the Platform
Supplier profiles are shared across all SupplierGateway domains.
For example:
Supplier Status uses profile data to display supplier readiness
Reporting and analytics rely on profile classifications
Compliance and program participation reference profile documentation
Changes to a supplier profile are reflected wherever the data is used.
What Supplier Profiles Do Not Represent
Supplier profiles do not:
Replace ERP vendor master records
Execute procurement or payment transactions
Store contract terms or pricing
Serve as financial accounting records
Their purpose is to manage supplier identity, attributes, and readiness.
Summary
Supplier profiles provide a centralized, authoritative view of each supplier in SupplierGateway. Internal users access supplier profiles through the Supplier Management application using Supplier Status, while suppliers maintain their own information through self-service registration and updates. Accurate supplier profiles are essential for effective reporting, compliance, and analytics across all platform domains.
